Overview

The Microsoft AI Design & Research team is seeking a highly motivated and proactive Business Administrator to provide exceptional administrative support and customer services to our teams along with calendar management for Partner Level + Design managers.

The ideal candidate for this role needs to navigate a fast-paced environment, be agile and embrace changes, be able to multi-task, have excellent interpersonal skills, take initiative, demonstrate good judgment, and maintain a high level of confidentiality. A successful candidate must build trust through consistent and timely follow-up, with excellent clarity in communication.

Responsibilities
  • Calendar & Travel Management: Proactively manage calendars of 2 Partner design managers and VP of Design and - make decisions on their behalf based on shifting business priorities to ensure accurate scheduling and appropriate allocation of time. Manage travel logistics on travel tools and policies.

  • Team Support: Provide team support, including headcount management, budget, morale events, distribution group management, onboarding/offboarding.

  • Resource & Space Management: Proactively manages hardware/software/supply inventories as needed. Works with budgeting and company finance policies. Assists with team space move logistics and facilities requests.

  • Communication: Collaborate internally with lead admin while gaining knowledge from peers and managers to understand how to build a network. Take direction and prioritize multiple requests from admins, teammates and managers.

  • Project Ownership: Provides onsite team support and carries out tasks under direction of others. Take accountability for their components of assigned project outcomes by asking questions and sharing ideas related to projects.



Qualifications
  • 2+ years of experience providing administrative support to a design team

  • 2+ years of experience with partner level + calendar management

  • Proficiency with Microsoft Core Office products or related software, including, but not limited to, Word, Excel, Outlook, PowerPoint, OneNote, and OneDrive

  • Experience in successfully partnering with other business administrators.



Business Support ATR-C - The typical base pay range for this role across the U.S. is USD $25.10 - $43.80 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $35.72 - $51.11 per hour.
